A Case Study in Custom Software

Paper-Based Operations

Our client’s operations were entirely paper-based. Requests for service would be phoned in and captured on paper forms, which would then be distributed within the company either manually or by being scanned and emailed to the respective recipients.

Communications were slow and fraught with redundant data-entry and potential for error. Capturing service requests, disseminating information, verifying availability and invoicing were all performed independent of each other and all required the same information be entered into diverse systems.

Maintenance and employee work schedules were all kept on spreadsheets which would be accessible only to the associate upon whose hard drive the files resided. There was no integration of schedules with other operational systems; it was a situation of schedule now and figure out how to make it work later.

Implementation

The result was the design and implementation of a cloud-based, shared database, custom solution whereby requests for service were captured in a browser-based form and written to a database.

Communication was streamlined by sharing the same database information about employee availability (work schedules), machine maintenance, and customer contact information. Employee notifications have been automated. When a service request is received, automatic email and text message alerts go out to only those employees who need to be alerted.

Service request information is shared across the enterprise in a password-protected and secure environment. Data required by every department from operations to customer service to accounts receivable is now available in one database, accessible by multiple applications, reducing the need for redundant data-entry.

In keeping with our definition of efficiency, our client has significantly reduced wasted time, talent and treasure by maximizing the use of employee resources, freeing employees to focus on more important tasks. Speed of communication and shared data has reduced the time from invoice to collection of payment. Even record-keeping has been made far more efficient by reducing and eliminating paperwork.
